Enhancement to PTO Auto-Enrollment Rules Maintenance Form

Two new fields, Trigger Rule On and Archive existing register?, now display on the PTO Auto-Enrollment Rules Maintenance form. (You can access this form by clicking New Rule in the PTO Auto Enroll Rules form.)

For example:

These new fields do the following:

  • Trigger Rule On: Select an option to determine which event triggers the re-assessment of a rule. For example, when Trigger Rule On is set to Status/Type Change, the rule triggers during an employee status/type change process and, if criteria are met, the system enrolls that employee in the indicated plan.

    • Note the following:

You cannot use a rule trigger option more than once. If you try to reuse a trigger an error message displays, "Trigger already listed for this rule." Click OK to continue. In addition, you can view existing PTO Auto-enrollment rules, but you cannot make any updates to them.
Using future-dated status/type changes and position changes triggers a re-evaluation of the PTO auto-enroll rules and executes the enrollment based on the employee's Status/Type Change or Position Change at the time the change takes effect.

When a PTO auto-enroll rule is configured with the Status/Type Change setting and an employee status/type change occurs, the following happens:

If the change date matches or is prior to the system date and there are no required approvals:

If the rule is set to archive the prior PTO Register:
Any existing PTO Registers that share the same class as the PTO Register assigned to the affecting rule are archived.
The system sends a notification about register archival to the user on the Status Type Change form.
The system creates a new enrollment/register for the employee's new plan.
If the rule is not set to archive the prior PTO Register and no PTO Class conflicts exist with the employee's existing register, the system creates a new enrollment/register for the employee's new plan.
If the rule is not set to archive the prior PTO Register and a PTO Class conflict exists, the system does not update the PTO Register and does not make any changes.

The system does not update the PTO Register and does not make any changes in the following scenarios:

If the change date matches or is prior to the system date and there are required approvals.
If the change date is future-dated and there are required approvals.
If the change date is future-dated and there are no required approvals.

Note: When multiple PTO auto-enroll rules for the same PTO class are set to trigger during the Status/Type Change process, the system evaluates and enforces the rules by Rule Number order. Therefore, if an employee meets the criteria for a rule, the evaluation of all other rules for the same PTO class stops and the process moves on to evaluate any other PTO classes represented in the PTO auto-enroll rules.

When a PTO auto-enroll rule is configured with the Position Change setting and an employee position change occurs, the following happens:

If the change date matches or is prior to the system date and there are no required approvals:

If the rule is set to archive the prior PTO Register:
Any existing PTO Registers that share the same class as the PTO Register assigned to the affecting rule are archived.
The system sends a notification about register archival to the user on the Position Change form.

Note: When multiple PTO auto-enroll rules for the same PTO class are set to trigger during the Position Change process, the system evaluates and enforces the rules by Rule Number order. Therefore, if an employee meets the criteria for a rule, the evaluation of all other rules for the same PTO class stops and the process moves on to evaluate any other PTO classes represented in the PTO auto-enroll rules.

  • Archive existing register?: Indicate whether to archive existing PTO registers when the rule is invoked based on the re-assessment of the rule.

Note: You must select an option. Otherwise, an error message displays. Click OK to continue.

For more information, see Specifying Time Off Auto-enroll Rules.

WSP-2437

Client

Enhancement to PTO Auto Enroll Rules Form

The system now re-evaluates PTO auto-enroll rules and executes enrollments in the PTO Auto Enroll Rules form for current or past-dated Status/Type and Position changes that require approvals, which is helpful to users managing PTO enrollments.

When an approval is approved for an applicable change, if the change date matches the system date or a prior date the following occurs:

  • If an employee meets the criteria for a rule and the rule is set to archive in the prior PTO Register, the system archives existing PTO Registers that share the same class as the PTO Register assigned to the affected rule.

Note: In this scenario a message displays, "A type change has taken place that will archive this employee's PTO plan."

  • If an employee meets the criteria for a rule and the rule is not set to archive the prior PTO Register and no PTO Class conflicts exist with the employee's existing register, the system creates a new enrollment/register for the employee's new plan.

  • If an employee meets the criteria for a rule and the rule is not set to archive the prior PTO Register and a PTO Class conflict exists, the system does not update the PTO Register.

  • If an employee does not meet the criteria for any rule, the system does not update the PTO Register.

Note the following:

  • If applicable, a new PTO Register enrollment occurs.

  • If archiving PTO Registers is configured, the system archives the PTO Register as part of the PTO re-enrollment process.

  • When a user approves an approval for a future-dated change, the system does not re-evaluate the PTO auto-enroll rule.

For more information, see Specifying Time Off Auto-enroll Rules.

Enhancement to PTO Auto-Enrollment Rules Import Form

In association with the new fields that display on the PTO Auto-Enrollment Rules Maintenance form (see Enhancement to PTO Auto-Enrollment Rules Maintenance Form), two new columns, Trigger Rule On and Archive Existing Register, now display in the import spreadsheet on the PTO Auto-Enrollment Rules Import form.

These new columns indicate the following:

Trigger Rule On: Determines which event triggers the re-assessment of a rule. For example, when Trigger Rule On is set to Status/Type Change in the PTO Auto-Enrollment Rules Maintenance form, the rule triggers during an employee status/type change process and, if criteria are met, the system enrolls that employee in the indicated plan.
Archive Existing Register: Indicates whether to archive existing PTO registers when the rule is invoked based on the re-assessment of the rule.

Note the following:

The system validates that the Trigger Rule On value is not used more than one time per rule.
The system reports the import status of the new fields in the Transaction Report along with any error messages.

For more information, see Importing Time Off Auto-enrollment Rules.

Human Resources

Enhancements to Employee Details Form

The following enhancements are now available on the Employee Details form:

  • A new field, Contact if arrested/detained?, now displays in the Emergency Contact panel.

    For example:

Note: This enhancement was created in association with the new requirement for California employers, that as of March 2026, employers must allow employees to indicate whether an emergency contact should be notified if they are arrested or detained on their worksite.

To ensure an employee's emergency contact is contacted in case of an employee's arrest/detainment on the worksite, select Yes in the Contact if arrested/detained? field. (The default is --Select--.)

  • The system now displays --Select-- as the default option in the Non-Res Cert Filed field on the Tax tab when you create an employee. (Previously, the Non-Res Cert Filed field defaulted to No, resulting in users having to reset the option to --Select-- to perform new employee imports.)

    For example:

Benefits Administration (BA) Fixes

Table 8: Benefits Administration (BA) Fixes
Jira # Issue Summary Resolution

WSP-2921

Previously, on the Retirement Plan Enrollment form, under the Election Details section, when you deleted an Effective Date, the system deleted the prior records data available for employee contributions.

Now, this is fixed.

Now, this is fixed.

WSP-2938

Previously, on Retirement Match Rules form, there was some confusion with the logic for calculation of Matching Contribution displayed on the employee's payroll voucher.

Now, this is fixed.

WSP-3142 Previously, when you entered a future dated Benefit Salary where current day was prior to the Benefit Salary change and the pay date was after the future dated Benefit Salary, then the payroll process did not automatically create a new coverage detail Effective Date. Additionally, for Benefits Enrollment, if the Open Enrollment effective date was equal to or after the future dated Benefit Salary, then the system displayed incorrect rates. However, if the current day was equal to or after the future dated Benefit Salary, the payroll process updated the existing coverage detail effective date with the correct coverage and premium amounts. Now, this is fixed.
WSP-3257 Previously, on the Group Benefit Plans form, when you selected a Benefit Plan, then under the Age Parameters section, in the Age Calculation (Month/Day) field, when you selected non-Month/Day option, the system displayed an error message, which was an incorrect behavior. Now, previously created Form W-2s will update to zero when all taxable earnings and tax amounts are reduced to zero.
CMP-6203 Previously, PrismHR was not correctly recalculating billing taxes on vouchers for the Miscellaneous Taxes when the tax rate is less than, equal to, or greater than 1.00. Now, this is resolved.

Now, this is resolved.

CMP-6945

Previously, the PrismHR Tax Quarterly JSON file incorrectly reported the Gross Wages as Taxable Wages for SUI.

Also, if an invalid project is entered, upon tab or enter(or run), an error message will pop up stating Record [<Client ID>.<Project Code>] is not on file [PROJ.WORK.CODES].

CMP-6984

Previously, in the Mastertax RTS Q4 616 record, only one tax code was reported instead of the combined amount of all tax codes reported in boxes 18-20 on the Form W-2 for New York City localities.

Now, in MasterTax RTS for the employee PFML for Delaware and Maine:

The 500 record will report on tax codes XX-40 and XX0000-014.
