Using the Notification Control Panel (Benefits Enrollment)
Use the BE Notify section in the Notification Control Panel to:
| • | Start or stop the notifications engine during enrollments |
| • | Determine the frequency at which the notifications engine sends notifications |
Note: Settings are at the system level. You can also access the New Message form from the Actions menu.
Notifications are added to workflows in the Workflow Library. During enrollments, the system sends out event and time-based notifications attached to the workflows to the notification recipients specified.
Note: The system sends notifications only for organizations that have the Enabled Benefits Enrollment option selected in Global Configuration. If the option is not checked, the Notification Control Panel does not send notifications. You can turn notifications off at the client-level in the Client Workflow Grid.
| • | Open enrollment notifications are sent once a day (typically at midnight). |
| • | Benefits enrollment notifications are sent at the interval specified. |
| • | Approval notifications are sent immediately. |
Note: The background process automatically runs BE Notify, Payday Notify, ACH Processing, and Payroll Reminders. However, if BE Notify is turned off, the other processes continue to run.
Setting Up Benefits Enrollment Notification Controls
The PrismHR Customer Support Team recommends that you set up open enrollment workflows at least one day before the window opens.
To set up benefits enrollment notification controls:
| 1. | Click |
| 2. | From Operations|Action, select Notification Control Panel. The Notification Control Panel opens. |
| For this option | Define this information |
|---|---|
| BE Notify Interval (mins) |
The number of minutes to use for the current benefits enrollment interval. This interval determines how often the system checks for new hires and sends the notifications specified in the benefits enrollment workflow. You can enter a number from 5 to 1440 minutes. Note: The OB Notify Interval (mins) and OB Notify Date options in the OB Notify section are used only in Onboarding and do not affect Benefits Enrollment. |
| OE Notify Date |
The most recent date when the system sent notifications for open enrollment. It populates automatically. By default, the notifications engine sends notifications for open enrollment every day. If you need to manually resend a notification for an enrollment (for example, if the notification was not received by employees, or if there is a change to the notification template), delete the displayed date, and then click Submit. The system resends notifications using the current date. When the process completes, the current date displays. Note: The OB Notify Interval (mins) and OB Notify Date options in the OB Notify section are used only in Onboarding and do not affect Benefits Enrollment. |
|
Client |
Whether to restrict notifications to one specified client. This is typically done only for testing notifications using a test client (for example, when you test to confirm that the enrollment user works correctly). Leave this field blank to apply settings at the system level. |
| 3. | To submit your settings and start the notifications engine, click Save. |
| Click this in the BE Notify section | To do this |
|---|---|
| Status | Check whether the notifications engine is running or not running. The status displays the process ID (PID) number. |
| Stop |
Stop the system from sending notifications. The Stop option changes to Start and the status changes to not running. The request to stop notifications takes effect immediately. However, it can take a few minutes for the updated status to display correctly. Note: The Stop button in the OB Notify section is used only in Onboarding and does not affect Benefits Enrollment. |
| Start | Start the notifications engine without changing settings. The Start option changes to Stop and the status changes to running. If you stop and then restart the notifications engine, the PID number resets and a new PID displays. |
