Creating Group Benefit Auto Enrollment (Global)

Use the Group Benefit Auto Enrollment (Global) process to create group benefit enrollment records for active employees in all companies in all plans for which they are eligible. This process is run to create benefit enrollment records globally for all employees eligible for benefits based upon the client's benefit eligibility rules.

This process runs in the background and may be lengthy, depending on the number of employees and benefit plans. The system sends you an email notification when the process is complete.

Note:  This process does not use Client Access Group security.

To access the form, in the Work Centers menu, under Work Centers|Onboarding & Benefits, click Benefit Enrollment Maintenance. Under  Bulk Change Tools, click Group Benefit Auto Enrollment (Global).

To create benefit enrollments globally:

1. On the Work Centersmenu, under Work Centers|Onboarding & Benefits click Benefit Enrollment Maintenance Bulk Change Tools> Group Benefit Auto Enrollment (Global).
2. Complete these fields as required:

Suppress Benefit Adjustment?

Select Yes to NOT generate benefit billing adjustments.

Select No to generate benefit billing adjustments.

Create Eligibility Records Only?

Select Yes if you do not want to generate benefit billing adjustments.

Select No if you want to generate benefit billing adjustments.

Benefit Plan ID

If you want to limit the enrollment process to specific benefit plans, click the Benefit Plan ID link and select the plans from the multivalue selector. Click Done when complete to close the Select Benefit Plan list. The Plan Description auto-populates.

This field is a required field. If you click Create Enrollments without entering at least one Benefit Plan ID, then you will receive and error message stating Benefit Plan ID is required.

Note: On the Select Benefit Plan selector, the High Deductible Plan (HDHP) filter and the HDHP column has been removed. Also, it no longer limits benefit plans assigned to an Insurance Class or that are only set up for Auto Enroll.

Override dates

 

Coverage Starts

Overrides the coverage start date calculated by the system if the specified date is later than the calculated date.

Deduction Starts

Overrides the coverage deduction start date calculated by the system if the specified date is later than the calculated date.

3. Click Create Enrollments. A job progress window opens. Fix any errors that occur and repeat the process. When the process completes enrollments are created for the eligible employees and the report is sent by automated email.
4. Click Close to close the job progress window.
